We are looking for a service coordinator acting as a dispatcher and advisor reporting to the Service Foreman for our Vars branch. The main tasks are:

  • Demonstrate safe work behaviors and adherence to corporate health and safety initiatives and policies;
  • Update the service planner quickly and accurately;
  • Coordinate machine repairs with the Service Manager to meet deadlines;
  • Provide customer support for incoming calls and effective follow-up during and after machine repairs;
  • Create and structure work orders, review memos, if any, and warranty status, check customer payment arrangements, history, and codes to download into the service planner;
  • Manage local purchases and review work orders for billing / uploading and ensure credits and parts have been processed and submitted;
  • Attend warranty processing, including documentation requirements;
  • Manage product improvement programs from the manufacturer;
  • Track and invoice service agreements contract, Pro Care and Service Pro;
  • Responsible for internal and external communications with clients;
  • Prepare estimates and quotes and communicate them to the client;
  • Keep track of work sheets waiting for billing, thus reducing work in progress (overdue documents, core credit, C.O.D. records).

  • Have a College Studies Diploma or a Vocational Studies Diploma, and/or 3 to 5 years of experience in the field of customer service or heavy machinery, any experience or training related will be considered;
  • Personality with a team spirit, a dynamic attitude, a sense of autonomy, a sense of organization and an ability to communicate;
  • Knowledge of mechanical and electrical terms;
  • Knowledge of Microsoft Office Suite (Excel, Word);
  • Knowledge of the KeyStone system (asset);
  • Bilingual spoken and written (French and English);
